Based in Southampton, our client is looking to add a patent secretary to their growing team providing support for their busy patent team.
As patent secretary, your duties and responsibilities will include:
• Providing a reception service within the office to ensure that clients, general visitors and suppliers are dealt with appropriately including managing parking arrangements, making tea and coffee, allowing access into the building.
• Producing letters and documents
• Photocopying and scanning appropriate paperwork to ensure information is distributed to clients and staff.
• Distributing paperwork to other departments to ensure that work is progressed appropriately.
• Faxing letters to clients and agents in order to ensure communications are received promptly and that deadlines are met.
• Providing first point of call for receiving incoming telephone calls to ensure queries are dealt with appropriately and that calls are directed to the appropriate fee earner.
• Issuing information packs to clients on behalf of the fee earners to ensure potential clients receive the correct information.
• Inputting cases on the database and producing invoice wording on yellow sheets.
• Providing assistance with filing paperwork on client files to ensure files are kept up to date.
• Breaking up and destroying relevant cases as instructed to ensure an orderly filing system is maintained.

They will also have:
• IT skills to include good typing skills, Word, e mail and Excel.
• Ability to operate a fax.
• Minimum GCSE English Language at grade C.
• Methodical with a good attention to detail.
• Flexible approach to work.
• Some work experience in an office environment preferable.
• An ILEX qualification would be an advantage

• Legal office experience
Hours will be from 9am-5.15pm Monday to Friday and salary offered is £14,000p.a.
