    Job definition / purpose:

    Ensuring timely shipment of products from source to nominated customer factory/warehouse.
    Raising Invoices/Commission Notes for all products shipped.
    Ensuring customer's documentary requirements are properly met.

    Principle accountabilities / duties:

    * Acting upon instructions received from the customer to be responsible for ensuring timely shipment of the product from source to nominated customer factory/warehouse.

    * To be responsible for invoicing the customer for products shipped.

    * To be responsible for ensuring that a complete set of documents, including invoice, are dispatched to the customer in time for customs procedures to be completed in advance of the vessel's arrival.

    * To be the focal point within a team/region/ to offer advice and assistance on all matters to do with shipping, documentation, etc.

    Other duties:

    * Responsible for maintaining accurate information within relevant computer systems
    * Keeping customer fully informed of the status of shipments
    * Process insurance claims for any damaged or rejected products

    PERSON SPECIFICATION

    Minimum qualifications, experience, skills and abilities required:

    Qualifications: It is desirable, but not essential that the job holder be a member of a
    relevant professional body, i.e. Institute of Export

    Experience: Jobholder must have at least 5 years experience of all aspects of deep sea shipping and intra-Europe movements. It is desirable, but not essential that the jobholder has experience of cross trades and shipping of foods, agricultural products or dairy products.

    Specific knowledge: Must have reasonable knowledge of current import/export documentation, including, at least a basic understanding of EUR1 and GSP procedures Staff management (where applicable)

    Problem identifying / solving: Must be able to work unsupervised and act on own initiative in identifying problems and recommending solutions.

    Technical skills: Must be fully conversant with current versions of Microsoft Windows office products, in particular, WORD, OUTLOOK and EXCEL.
    Experience of working with SAP based systems would be desirable.

    Communication skills:

    Written: Must be sufficiently confident in the use of the written word to be able to send accurate instructions to suppliers and to send progress reports to customers, bearing in mind that these may be in countries where English is not the first language.

    Oral: Must be sufficiently confident and articulate to be able to talk to suppliers and customers, bearing in mind that these may be in countries where English is not the first language.


    Interpersonal skills: Must feel confident in dealing with other members of the department
    and any other department with whom will have daily contact.
