Our client based in Chobham is looking for a Coordinator to provide administrative, secretarial and logistical services and support to General Manager and 2 Managers and, on occasions, the Director General and thereby to anticipate and remove from them, to the greatest extent possible, day-to-day administrative burdens
Principal Accountabilities
• To ascertain the nature of all incoming communications, to deal with those in the jobholder’s remit and direct the remainder for the attention of the General Manager/Manager concerned or other members of the company Directorate as appropriate
• To provide all secretarial services for the General Manager/Manager concerned
• To prepare documents requiring desktop publishing and to make suitable arrangements for printing and publication
• Within guidelines set by the General Manager/Manager, to make suggestions concerning their respective business schedule arrangements taking into account other known and anticipated commitments
• To plan and arrange all business travel arrangements for the General Manager/Manager to meet their business schedule requirements. Reduced rate travel arrangements to be made in conjunction with the PA to the Director General
• To prepare and distribute relevant documentation for regular meetings of the Technical Work Groups and any associated ad hoc groups, including preparation of on-line registration and web based documentation
• To attend the Work Group meetings or other ad-hoc meetings on occasions and to prepare and distribute the minutes accordingly
• To extract from the companies files relevant briefing material for specific meetings attended by the General Manager/Manager
• To monitor the companies plan of meetings and functions insofar as they affect the activities and responsibilities of the General Manager/Manager
• To participate as a support staff team member, undertaking shared responsibilities
• To undertake any other secretarial or administrative tasks as required
Skills required:
• Intimate knowledge: Microsoft Word and Events Database
• Working knowledge: Microsoft Excel, Claromentis (webtool), Powerpoint
